What is the minimum amount of hours I can purchase on the Ultimate Flex?

It’s a minimum of 2 hours which are purchased in advance and can be taken as and when you need.

How do you track hours, how are these reported?

I use Toggl for time tracking, timesheets can be provided if needed, please just let me know in advance.

What happens if I need more hours when I’m on the Business Backbone?

No problem, I understand some months are much busier than others! You can simply purchase additional hours and bolt these on to the Business Backbone, these are charged at the Ultimate Flex rate of £45 per hour.

What happens if I don’t use all my hours?

If you are on the Ultimate Flex your hours will simply roll into the next month, and you can use them as and when you need them. Any unused hours will expire 12 months after their purchase date.

If you are on the Business Backbone your hours will not be carried forward month to month, but I am very hot on ensuring that all my clients are at the right level of hours for their needs, so will review the hours if needed if you don’t use all of them for a month or two, I know that things change and am flexible.

How and when do I pay for the packages?

Payment is in advance, once we have agreed on the hours you need I will send an invoice, simple!

What is the notice period for The Business Backbone?

4 weeks is the notice period.

How do I know we are a good fit?

Every potential client will have a 30 minute Discover Call with me, free of charge, so we can have a chat about your needs and ensure I’m a good fit for you. I realise that fit is very important. I’m always happy to recommend other PA’s or VA’s if we are not a good skills/need match, I want you to find the right support you need.

What happens during holidays?

If you are planning a long holiday then you just need to give me as much notice as possible, and we can make the necessary arrangements. Likewise, I will always give you plenty of notice for any holidays I plan to take, you will not be ‘left in the lurch’. I also tend to plan my holidays for the months that are quieter in my clients’ business. 

How do you ensure client confidentiality?

I am very happy to sign your NDA, but having been a PA for over 20 years I take client confidentiality extremely seriously, my business depends on it.

What are your working hours?

9.00am - 5.30pm. I work flexibly and other hours may be possible subject to early request.

Are you insured?

Yes, I’m insured with Hiscox up to £1,000,000 Professional indemnity insurance, Certificate of cyber and data insurance £100,000.

What skills/IT literacy do you have?

Microsoft Office 365, Google Workspace, Asana, Adobe, Charlie HR, Docusign, Dropbox, Miro, Quickbooks, Slack, Trello, Xero and Zelt HR to name a few!

What areas do you NOT cover?

Social Media, Blog writing, Marketing

How the PA packages work

The Nuts & Bolts

30 min Discovery Call and 6 monthly check in/review call (both complimentary)

Time is tracked and hours are rounded up/down the nearest 15 mins - timesheets can be provided. If you require timesheets we can discuss this during our discovery call

The Business Backbone 

Hours can’t be carried over if unused. Use it or lose it!

Aside from the 6 month review call, I will communicate if you are likely to exceed your booked time or if you are not using the time you are paying for regularly, so we can adjust your retainer going forward.

How the PA packages work
 

Minimum hours

The Ultimate Flex
2 hrs minimum per month, which can be topped up and paid in advance.

The Business Backbone
10 hrs minimum per month. Any top up/overtime will be at the Ultimate Flex hourly rate.

Invoicing

Both packages are to be invoiced and paid for in advance (including top up/overtime hours).

Termination

The Ultimate Flex
Invoices for the forthcoming month are automatically raised on the 15th of the current month so please advise by then if no time needs to be booked in.

The Business Backbone
4 week termination period.
